+ New Fill Up - adding fuel records.
Note: Gas Cubby defaults to MPG (US). If your vehicle's odometer measures in kilometers or you use units other than miles and gallons, change the settings before entering data. Check the Settings section of this manual for more information.
The first thing to consider when keeping a fuel log is which fields you'd like to track. To track fuel economy, you must enter the date, odometer and fuel volume. All other fields are optional and most may be hidden; see the Visible Fields section of this manual for more information.
Time: Date and time are tracked in case you fill up several times in one day, perhaps on a road trip. Generally, the exact time of a fill up is not critical, but it is important to ensure records remain in chronological and odometer order.

Vehicle: When creating a new record, the vehicle shown in the Vehicle Row of the main page is automatically used. To change it, tap the Vehicle field and select from the list of vehicles or add a new vehicle. Vehicles may also be added or deleted quickly in this screen; tap Edit on the navigation bar to make red circles appear next to each vehicle then tap one to reveal a delete button.

Odometer: Since the odometer is used to track service reminders, you must enter the actual odometer value rather than the distance since the last fill up, as recorded by a trip meter.
Fill Up Button: As discussed in the Calculations section, filling the tank to the top is ideal; this constitutes a Full fill up. However, if the tank is not filled to the top, select Partial. If a fuel record is skipped or forgotten, select Reset on the first fuel record that begins logging again to restart the fuel economy calculations.

Cost/Gallon, Gallons and Total Cost: Enter any two values and the third is automatically calculated. If tracking fuel price and total cost is unimportant, they may be left blank.

Location: Each time a location is saved, it is added to the list of frequently used locations. Tap on a location to select it and return to the record edit view.

As letters are typed, the list filters:

Octane, Gas Brand, Tags, Payment Type, Tire Pressure, Notes: Except for Tags, these fields are self-explanatory and are primarily intended as points of interest. They may be used to help understand the effect each has on fuel economy, in the case of Octane, Gas Brand, Tire Pressure, and anything written in Notes.
Tags are a tool to classify records so a thread may be made among otherwise unrelated records. For example, a tag "aggressive" may be made and applied to fuel records to indicate aggressive driving during that fuel tank; later, searching for "aggressive" yields only records with that tag. It's possible to apply multiple tags to a single record, such as "business" and "personal" along with "aggressive."
Deleting records: There are two ways to delete a record. First, on the main screen by swiping horizontally on the line of a record so a red delete button appears just as in Mail and some other native apps; second, by opening a record, tapping Edit and scrolling to the bottom of the screen to find the delete button.

Services
+ New Service - adding service records.
The first thing to consider when creating a service record is which fields you would like to track. For service reminders to work, the date, odometer reading and the service performed must be entered; all other fields are optional and several may be hidden. The second thing to consider is how often a service should be performed; while the intervals are preset and may be changed on the fly, ensure they are all set based on the specific vehicle and its recommended intervals prior to entering any service records.
Date: Date and time are tracked but, generally, the exact time of a service is not critical. However, it is important to ensure records remain in chronological and odometer order.
Vehicle: When creating a new record, the vehicle shown in the Vehicle Row of the main page is automatically used. To change it, tap the Vehicle field and select from the list of vehicles or add a new vehicle. Vehicles may also be edited or deleted quickly in this screen; tap Edit on the navigation bar to make red circles appear next to each vehicle then tap one to reveal a delete button or tap on the vehicle name to edit its name.

Total Cost: This is optional but useful for expense tracking and populates the "Total Service Expenses" chart.
Services: Select the service or services completed on the vehicle. This information is used in combination with the date and odometer to track service reminders.

Custom Services: While entering a new service record or editing an existing record, custom services may be added. Scrolling to the bottom of the list of services reveals the New Service button, which may be tapped to reveal a screen where a custom service is created. Once the custom service has been created, editing of the service record may be resumed or canceled. The reminder intervals for a custom service are initially blank and may be set from the Service Reminders screen found within a vehicle's detail record.
To remove or edit a custom service you created, tap Edit on the navigation bar to enter list edit mode. A red circle with a white dash appears next to custom services. Tap the red circle to make a delete button appear or tap the name to edit.
Odometer: Since the odometer field is used to track service reminders, fill it in when a service is performed.
Location: Each time a location is saved, it is added to the list of frequently used locations. Tap on a location to select it and return to the record edit view.

+ Reminders - set service intervals for each vehicle.
Service Reminders is great tool to ensure vehicles are properly maintained. A reminder will trigger when a service is within 10% of coming due. For example, if "Oil Change" is left at the default 3 months and 3000 miles, the oil change reminder will trigger when it is within 9 days or 300 miles of the service coming due.
Active alerts may be Snoozed or Silenced. If Snoozed, the alert appears in 10% intervals until a record has been entered with that specific service; if Silenced, the alert for that service will not appear again until another service record for it has been entered and it is time for that service again.

For overdue services, a passive alert is available and appears as a red badge on the Gas Cubby icon to indicate the number of overdue services. Badge Notification may be turned off in Settings.

The distance or time remaining until the next service is viewable on the vehicle detail page. To determine which vehicle is triggering the service reminder badge, open a vehicle detail screen and swipe horizontally to flip through each vehicle detail screen. Services with black numbers are not yet due; those with red numbers are overdue.

Service reminder intervals may be changed by tapping "Edit" in the top right of the vehicle detail page, then tapping the "Service Reminders" field. From the Service Reminders screen, select a service to edit and adjust the time and distance numbers determining the service frequency. Setting a number to blank in the editing screen tells Gas Cubby to ignore that unit; setting both time and distance numbers to blank tells Gas Cubby to ignore the service entirely so alerts and reminders never trigger.

At this time, it is not possible to set a specific date or odometer reading to fire a one-time alert; to begin a service reminder countdown, a service record must first be entered.

Statistics
+ Calculations - explanation of fuel efficiency.
Calculating fuel economy requires two numbers: a distance traveled and a volume consumed. In Gas Cubby, you enter the volume of fuel pumped and the odometer reading at the time of filling; knowing the amount of fuel required to completely fill the tank is how the amount of fuel consumed is determined. Distance is calculated by subtracting the odometer reading of the first fuel record from the second.
The next consideration is the placement of fuel economy data: does it belong in the first record or the second? To understand why we chose the first, consider this example. Let's say you stop for fuel at Shell and 20 gallons completely fills the tank while your odometer reads 10,000. Your next fill up is at Exxon: the odometer reads 10,500 and 25 gallons fills your tank. The calculation is easy: 500 miles / 25 gallons = 20 MPG. But which fuel was actually involved in the 20 MPG? The fuel from Shell. This is the same truth found when considering if energy bars eaten before a marathon propel you to finish, or if it was the steak dinner afterward.
These basic calculations are only possible when the tank is filled completely and the fuel volume it took to do so is recorded along with the odometer reading. If the tank is not filled completely, set the fill up button to "Partial" and Gas Cubby will keep tracking while it waits for a "Full" fuel record.

If a fuel record was skipped or forgotten, select Reset on the first fuel record that begins logging again to restart the fuel economy calculations.

+ Charts - turn the iPhone horizontally to view stats.
To view charts and graphs of various available data, turn the iPhone on its side. Swipe the screen horizontally to view all available screens.

Charts and graphs are drawn based on data viewable in the main screen. For example, if there are no service records, there is nothing to display in the "Total Service Expenses" chart. Likewise, if the records are filtered through Search or Advanced Search or a specific vehicle is selected, only the remaining data is represented.

To save a chart, use the iPhone's built in screenshot capability: simultaneously press and release the physical Home and Sleep/Wake buttons. The screen flashes when the screenshot has been saved. The image is then stored in the Camera Roll of the Photos app where it may be viewed or emailed.

Searching and Emailing Records
+ Search - find a specific record or multiple records.
To search available records, tap the main Search button (magnifying glass) at the top left of the screen. As you type in the search field, Gas Cubby actively searches through every field of every record so only matching records remain. Tap the keyboard's Search button at any time to hide the keyboard, completing the search and retaining the results.
While searching, the vehicle selector and Gas/Service filter are still active. For example, if you type "shell" then tap the keyboard's search button to hide the keyboard, you may scroll through each vehicle to see which records match in each. Turn the device on its side to see graphs and charts of these results.

To view Advanced Search options, tap More in the search bar. The results may be filtered by several of the available fields. Tap Search at the top left of the Advanced Search screen to return to the main screen and find the filtered record list. While Advanced Search filters are active, the 3 dots above More are blue.

To exit Search mode, tap the magnifying glass again, which changes back to white from blue.

Advanced Features
+ Online Sync - keep a backup online in case of data loss.
Note: Online Sync is not currently available for Gas Cubby FREE.
Gas Cubby's Online sync feature serves two primary purposes:
Setup: To set up Online Sync, follow these 3 easy steps:

The Setup/Login screen contains the date and time of the last successful sync.
A time stamp on the Settings screen displays the date of the last successful sync.
Currently, Online Sync data may only be manipulated with the Sync and Delete Synced Data buttons. It is not possible to access or view Online Sync data through a web browser, but we hope to offer a web app and other online functionality in the future.
Gas Cubby's Online sync feature serves two primary purposes:
- Online backup in case of data loss.
- Synchronization across multiple devices. This is useful, for example, to a married couple who both have iPhones and want to keep their vehicle data in sync no matter who puts fuel in the car.
Setup: To set up Online Sync, follow these 3 easy steps:
- 1. Go to Options and tap the Online Sync button. Enter your email address then tap Send.

- 2. Check your Inbox for an email from support@appcubby.com. Following the link inside brings up a webpage finalizing account setup, and the status in the Setup/Login screen changes to confirm account setup.

- 3. Return to Gas Cubby and tap Sync. Wait for syncing to finish before doing anything else.

+ Recovering from data loss
Online Sync was introduced early in 2009 as a safety net for data loss; errors in iTunes' sync or backup/restore features, necessary "restore as new" resets of the iPhone, and accidental app deletion are the most common causes. In case of data loss, it's generally best to try restoring through iTunes first; if unsuccessful, the following are the proper steps to recover data through Online Sync, the first of which is optional but recommended. Note: if a unit setting other than MPG (US) has been used, ensure the proper setting is selected before attempting to recover data.
- 1. Hard reset the iPhone to ensure the OS flushes the cache and starts fresh. To do so, press-hold the physical Home and Sleep/Wake buttons until the device shuts off and begins to restart, indicated by the appearance of the silver Apple.
- 2. Ensure the email address field in the Setup/Login screen is populated with the correct email address. The status message below the email address field should indicate the account is already set up. If the email address field is blank, enter the proper address then tap Send; an alert should then fire to indicate the account for that email address is already set up.
- 3. Return to the main screen and tap Sync.
+ Synchronizing data among multiple devices
Online Sync's design allows data to be shared between multiple iPhones and iPods. It is useful for transferring Gas Cubby data to a newly purchased device or keeping separately entered data on multiple devices synchronized.
Doing either of these two things is as simple as setting up Online Sync; the critical part is to use the same email address on each device intended to share data. For each device, a confirmation email will be sent to the email address entered and the owner of that email address must click the confirmation link within. For each device to synchronize with the Online Sync account, the Sync button must be tapped on the main screen.
To visualize how this sharing works, consider the single, shared database as if it is a chalkboard in the lobby of a building to which each user of the same account has access. Tapping Sync is like walking up to the chalkboard, recording to your notepad all the changes the other users have made, and adding your changes to the chalkboard. If you never visit the chalkboard, there is no update.

Number pad set to Off for Odometer:

+ Octane - change the names of the fuel choices.
The four customizable octane categories are Low, Mid, High, and Other; the names assigned to each appear in the fuel record entry screen and exports.

+ Visible Fields - set field visibility.
Some fields may be hidden. If data has been entered into a field and that field is then hidden, its data is retained; if the field is again made visible, the data reappears. "On" means a field is visible.
