Overview
Here's an overview of the main Trip Cubby window:

The distance unit is miles by default but may be changed to kilometers - this change should be made before entering any data. The settings section of this manual provides more detail.
Creating a Trip
To begin, tap on the + symbol.
Fill in as much or as little as necessary, but remember that a record is considered incomplete until Total Distance has been entered. Incomplete records will be labeled as such upon saving and a badge will be placed on the Trip Cubby icon to indicate the number of incomplete records.

Note: most of the following fields are optional and may be hidden as described in the Settings section of this manual.
Start Location:
This field has been included primarily as a point of interest. Previously entered data is listed and may be directly selected or narrowed down by typing the beginning letters of a location.
Contact:
The contact list is populated with previously entered names and with names from the app called Contacts; the list is predictively narrowed as letters are entered.
Purpose and Destination:
Filling in these fields creates the trip title in "Purpose @ Destination" format. It is possible to choose another selection or 'x' out of a selection, leaving the field blank. These are sorted by frequency of use then by ascending alphabetical order.
Tags:
To allow records to share a common thread, they may be labeled with customizable tags, making it easy to group trips through searching or filtering in Trip Cubby or a spreadsheet program once the data has been exported. A single trip may have multiple tags.
Odometer:
Odometer Start is automatically populated with the last record's Odometer End, though it will not be correct unless every trip in a vehicle is logged. Entering two of the three fields results in automatic calculation of the third field. Total Distance may be solely entered.
Category:
Selecting a category defines the deduction rate for the mileage of your trip. Category names are customizable, but the defaults are Business, Charity, Medical, and Other. The names may be edited from the Settings application on your device - this will be explained in the Settings section of this manual.
Change the category to adjust the deduction rate.
Deduction Rate:
The deduction rate is automatically determined by the selection on the category bar, but it may be changed within the record. Changing the deduction rate does not permanently change the default rate. Changing the default rate for a category may be done as explained in the Settings section of this manual.
Deduction Amount:
This is automatically calculated based on Total Distance and Deduction Rate.
Paid/Unpaid:
Select the appropriate status so reimbursement data may be accurately filtered and reflected in statistics and graphs.
Driver:
A single driver may be attached to a trip. From within the Driver screen, it is possible to add, select, and remove names. To remove a driver, tap Edit, then the red symbol that appears next to driver names, revealing a Delete button.
Start/End Time:
Start Time defaults to the current time when beginning new trip entry while End Time is blank. If End Time is set earlier than Start Time, both fields will display in red.
Expense 1 and 2:
Enter any reimbursable expense incurred for the trip, such as a tollway fee.
Expense Description 1 and 2:
Enter a note to explain the corresponding expense.
Add to Frequent Trips:
Tapping this button creates a Frequent Trip record that may be selected the next time a similar trip is taken to greatly reduce entry time. All the data entered before tapping this button will be included.
Editing/Deleting a Trip
The Edit button is located in the top right of the trip detail screen when in View mode. Once the changes to the trip record are complete, tap Done to save the record and return to view mode. While in Edit mode, a Delete button is visible at the bottom of the record.
Another way to Delete a single record is to swipe from left to right on the line of the record to delete in the main screen; a red Delete button will appear on that line and may be tapped to delete the record - a swipe from right to left or tapping on any other record will hide the button.

Mass Edit:
A great new feature released in v2.0 allows multiple records to be quickly edited or deleted. To access this feature, tap on the search button (magnifying glass) in the top left of the main screen and then tap on the Edit button that appears in the bottom right corner. Tapping the bubbles that appear next to each record adds a checkmark to indicate which records will be included in a mass edit or delete. Alternatively, the All button may be used to select all records not filtered out by a search; this same button becomes None when all records are selected.

The number in the parentheses of the Delete and Mark Paid buttons indicates the number of records to be included in the mass edit or delete. When all edits have been completed, tap Done to exit Mass Edit mode.
It is possible to filter the list of available records to mass edit by using search as described in the Search section of this manual.
Online Sync
The Trip Cubby online sync feature serves two primary purposes.
- Online backup in case of data loss.
- Synchronization across multiple devices.
Setup: To set up Online Sync, follow these 3 easy steps:
- 1. Go to Options and tap the Online Sync button. Enter your email address then tap Send.

- 2. Check your Inbox for an email from support@appcubby.com. Following the link inside leads to a webpage finalizing account setup. Once done, the Setup/Login screen changes - the account is confirmed and a Delete Synced Data button appears.

- 3. Go back to Trip Cubby and tap Sync - allow syncing to
finish before doing anything else.
Charts
To view charts, simply turn your iPhone on its side. To view aditional charts, swipe your finger across the screen.



If you'd like to save a chart, just use the iPhone's built in screen shot capability - press and hold the physical Home button and Sleep/Wake button for a moment and release. The screen will flash when the screenshot has been saved. This screen shot will be stored in the Camera Roll of the Photos app and may be viewed, emailed, or even used as wallpaper.
Search
To search for a specific record, or to filter records, tap on the search button (the magnifying glass) at the top left of the screen. As you type in the search field, Trip Cubby actively searches through every field of every record. The keyboard's Search button may be tapped at any time to hide the keyboard, completing the search and retaining the results for viewing. You may also tilt your device to see charted search results.

To view advanced searching options, tap More on the search bar. The results may be filtered by most of the fields available. Once the results have been filtered, don't forget to tilt the iPhone sideways to see a chart!

While in search mode, the search button (magnifying glass) will be blue. To exit search mode and hide the search bar, simply tap the magnifying glass.
Export
While in search mode, an export button replaces the Add Trip button.

To export all records, ensure the All/Paid/Unpaid filter is set to All. To export a particular set of records, search and/or filter then tap Export - only the records displayed in the search results will be exported.

Trip Cubby remembers the last email used; alternatively, a new email address may be selected from contacts by tapping the blue + button. Fill in a subject and a message and tap Send.

The Trip Cubby settings are located in the iPhone settings app.

Number Pad
It is possible to turn the number pad on or turn it off (to use the picker) for the odometer and financial data fields.

Visible Fields
Some fields may be undesirable to include in data entry and may be made invisible to simplify the entry screen and exported data. If data has been entered in a field and that field is set to Off, the data will be retained; it remains hidden until the field is set back to On.

Deduction Categories
The default deduction categories are Business, Charity, Medical, and Other but may be changed to more suitable names.

Deduction Rates
The deduction rates have been set to the latest United States rates, but it is important to ensure these rates are kept current. Additionally, some companies offer different reimbursement rates so check with your accountant to ensure accurate rates.
